Compare · Smartsheet

Smartsheet manages work in a grid.
Roomwork manages it where the conversation happens.

Smartsheet is a strong choice for large organizations that want spreadsheet-style planning, Gantt timelines, forms, reports and mature enterprise administration. Roomwork is the better fit for teams that want the conversation, the meetings, the hours and an AI that knows the project all in one room, without building it from sheets and automations.

One real scenario

What actually happens in the room

Plan → Talk → Track → Ship → Verify

A client emails help@ about a problem. In Roomwork, the email becomes a ticket in the right client project, assigned to the right people, and the client gets an acknowledgement and updates by email. The team discusses it in the room, tracks the time against it, and Rōrk can answer what happened later. In a sheet-based setup, each of those steps is a form, a rule or a separate tool.

Coming from Smartsheet

The same instincts, connected to the work

What changes

What teams notice after the switch

Less to build before it works
Projects start as rooms with tasks, chat, Canvas and time already connected, instead of sheets, rules and reports someone has to design.
Clients stay in the loop
Client requests arrive by email as tickets, and clients get acknowledgements and updates without needing to learn the tool.
An assistant that has the context
Rōrk answers with sources from the room, and Alva chases stuck work, without a separate AI layer to configure.

Questions

Before you switch

Can Roomwork replace Smartsheet?
For teams whose work centers on projects, conversations and time, yes. Organizations that rely on formulas and heavy enterprise governance should evaluate those needs first, since Roomwork has a Gantt view but does not have formulas today.
Is Roomwork enterprise-ready?
Roomwork has role-based access and per-project grants for people and agents. Smartsheet has a longer enterprise track record, so verify any compliance requirements you have before deciding.
Can we move our sheets?
Roomwork does not import Smartsheet sheets automatically. Teams usually recreate active projects as rooms and tasks as they begin their next phase.
What does AI-first mean here?
AI is part of how the product works: Rōrk answers from your rooms with sources, Alva follows up on stuck work, and time sessions can be reviewed. It is not a separate add-on.
Is Roomwork only for software teams?
No. Rooms, tasks, Jams and time tracking suit any project-based team.

Subscription sprawl

Fewer add-ons. Fewer invoices.

At time of writing

Smartsheet's time and expense tracking is the Resource Management add-on, and its AI features are on paid plans only.

Roomwork is free with every Paying.co engagement, and in limited beta for new teams. Chat, Jams, tasks, time tracking, Rōrk, Alva and Sten are built in, not sold as add-ons, so there is no stack of extra subscriptions to stitch together.

Ready when you are

Move from talking about the work to running it in the same room.

Start a room and bring your next project conversation, task, and delivery into one connected place, with AI built in from the start. Roomwork is free with every Paying.co engagement, and in limited beta for new teams. It replaces separate chat, project, issue-tracking, time-tracking and video-calling subscriptions.
